Position Details



Title: Administrative Assist. Child & Family Development

Description:
SUMMARY
Schedules appointments, gives information to callers, takes notes, types official correspondence and otherwise relieves officials of clerical work and minor administrative and business detail by performing the following duties.
 
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
 
  • Reads and routes incoming mail. Locates and attaches appropriate file to correspondence to be answered by employer.
  • Prepares, distributes and mails materials in a timely fashion to staff, clients and funding sources. Distributes memos to clients and staff.
  • Takes accurate phone messages and relays them to appropriate staff. Gives information and answers questions of callers in a respectful and professional manner.
  • Sets up filing system and files correspondence and other records.
  • Schedules appointments for employer.
  • Greets visitors, ascertains nature of business, and conducts visitors to employer or appropriate person.
  • Compiles and computerizes statistical reports via a data base and spreadsheet system.
  • Creates flyers, memos and business letters.
  • Makes copies of correspondence or other printer matter.
  • Assists Administrative Assistant Supervisor II in preparing reports as required by funding sources.
  • Responsible for the delivery and pick up of important documents.
  • Assists Director in fund raisers and other agency events.
  • Responsible for all IDHS client files i.e. enrollment and re-determinations.
  • Assist support staff in dealing with the Head Start Busing Company i.e. CASI., support staff are but are not limited to: Unit Director, Associate Director/Child Development Specialist, Family Services Specialist, Teachers and Administrative Assistant Supervisor II.
  • Maintains appropriate communication between IDHS, Day Care Action Council, CC & R and CEDA to ensure accurate client case eligibility.

Requirements:
QUALIFICATIONS
To perform this job successfully, an individual must be able to perform each essential duty satisfactory. The requirements listed below are representative of the knowledge, skill, and or ability required. EDUCATION and or EXPERIENCE
Computer literate, course work in word processing, database and spreadsheet systems. At least three years of key boarding and secretarial/clerical experience.
 
LANGUAGE SKILLS
Must be able to compose memos and correspondence in standard English. Must be able to proof flyers and documents. Must be able to communicate effectively and clearly with staff and clients.
 
MATHEMATICAL SKILLS
Must be able to maintain a ledger of income and expenses and to calculate the co-payments of clients. Mathematical knowledge includes addition, subtraction, multiplication, division and calculating percentages.
 
PHYSICAL DEMANDS
